Quickbooks Desktop integrates with Podium

Keep QuickBooks Desktop current without re-keying a thing.

Every invoice you finalize in Podium is written straight into your QuickBooks company file, with the customer, line items, dates and amounts already filled in. Your books stay up to date on their own, and nobody spends an afternoon typing them in twice.

  • Invoices land in QuickBooks with a P- reference, so you can always tell which ones came from Podium
  • Nothing new gets installed on your computer beyond Intuit's own QuickBooks Web Connector
  • Your company file stays on your machine — Podium never holds a copy of it
  • You choose how often it syncs, and you can disconnect whenever you like

Podium connects through the QuickBooks Web Connector, Intuit's own tool for desktop integrations, so the connection is one QuickBooks already understands.

Podium and Quickbooks Desktop

Compatibility

QuickBooks Desktop 2020 or newer (Pro, Premier, Enterprise) on Windows

Setup Process

Before you start

  • QuickBooks Desktop needs to be installed on a Windows computer, and you need to be able to sign in to your company file as the Admin user.
  • Decide which company file this location should sync to. One connection covers one company file.

Setup instructions

  1. Choose your location in Podium, then select Connect.
  2. Podium creates a connection file and a one-time password. Download the file, and copy the password somewhere safe — it is shown once and cannot be recovered afterwards.
  3. Open QuickBooks and sign in to your company file as Admin.
  4. In QuickBooks, go to File → App Management → Update Web Services to open the QuickBooks Web Connector. On older versions this is File → Update Web Services.
  5. Select Add an Application, then choose the connection file you downloaded.
  6. QuickBooks will ask whether to let Podium access your company file. Choose to allow access. If you would like invoices to sync without opening QuickBooks first, allow access while QuickBooks is closed as well.
  7. Back in the Web Connector, paste the password into the Password column on the Podium row and press Enter.
  8. Tick the checkbox next to Podium, then tick Auto-Run and choose how often you would like it to sync.

Good to know

  • The connection file is tied to your company file. To set up a second computer, download the same file again from Podium rather than creating a new connection.
  • Need a new password? Select Issue a new password in Podium. Your connection file stays the same, so there is no need to download it again.
  • Invoices sync one way, from Podium into QuickBooks. Nothing in your company file is changed or read back.
